Reader Reaction: KPIs

We display a wall of statistics that measure daily sales, number of new clients, deliveries, pre-press jobs through to platemaking and so on. These statistics are linked to the company’s ‘organising board’, which displays each staff member’s role and expectation within the company. Statistics are summarised on a monthly basis to identify trends and we use management by statistics (MBS) software to keep track of it. This makes performance visible and provides management with a dashboard of what is going on in the business on a daily basis, allowing us to manage on fact.

We measure: sales KPIs (new quotes for new business development and by average quoted margin); sales support (time from enquiry to quote submission); production KPIs (deliveries in full, on time); quality KPIs (99.95% by output volume and 99% of orders); and operator KPIs (the quoted versus actual time). Electronic capture of KPIs gives you a live snapshot of how the business is running at any given time. My KPI data is accessible via the custom app. I can review that data from anywhere at any time, so there is no excuse to why the supervisors and managers are not reviewing it either.

KPIs are important to larger companies, but it also depends who is reading them. You really don’t need to go into KPIs to understand how your company is travelling. KPIs are one of those fantastic things to crucify people, because you have something in black and white. With KPIs these days, lots of explanatory notes are required as the industry is so fickle, with wild swings in continuity of work and volume. My KPIs are basically how we travel from month to month and where I think we should be percentage wise, and the percentage of errors we might make monthly. May I add, our mistake rate is very low.
